REFUND & CANCELLATION POLICY

Effective Date: 6th July 2026

Last Updated: 1st October 2026

Version: 1.0

1. INTRODUCTION

This Refund & Cancellation Policy (“Refund Policy” or “Policy”) explains the rules applicable to cancellations, refunds, returns, payment reversals, booking changes, failed transactions and related adjustments on ShootingSet.com.

ShootingSet.com is a technology-enabled marketplace connecting production houses, filmmakers, vendors, asset owners, service providers, Buyers, Renters, Sellers, professionals, collectors and other Users.

Because transactions on ShootingSet may involve different categories of goods and services, cancellation and refund rights may vary depending on:

  1. transaction type;
  2. product or asset category;
  3. rental period;
  4. service type;
  5. Vendor’s disclosed cancellation terms;
  6. auction rules;
  7. stage of fulfilment;
  8. delivery status;
  9. payment status;
  10. reason for cancellation;
  11. damage or loss;
  12. applicable law.

This Policy should be read together with the ShootingSet Master Terms & Conditions, applicable Vendor/Seller Agreement, Rental Agreement, Auction Terms, Booking Confirmation and other transaction-specific terms.

Where mandatory applicable law provides a right that conflicts with this Policy, the mandatory legal requirement shall prevail.

3. IMPORTANT PRINCIPLE

ShootingSet is generally a marketplace/intermediary connecting Users with independent Vendors, Sellers, Owners and Service Providers.

Unless ShootingSet expressly acts as the seller or service provider for a particular transaction, the underlying product or service is supplied by the relevant third-party Vendor.

Accordingly:

  1. the Vendor may establish certain transaction-specific cancellation conditions;
  2. ShootingSet may facilitate the cancellation and refund process;
  3. payment providers may control the technical processing of refunds;
  4. ShootingSet cannot guarantee a refund where the underlying transaction terms do not provide one, subject always to applicable law.

4. TRANSACTION-SPECIFIC TERMS

Before completing a transaction, Users should review the cancellation and refund terms displayed for that transaction.

These may appear on:

  1. Listing pages;
  2. product pages;
  3. rental pages;
  4. service pages;
  5. location pages;
  6. checkout pages;
  7. Booking Confirmation;
  8. Auction Terms;
  9. Vendor terms;
  10. order confirmation.

Where transaction-specific terms have been clearly disclosed and lawfully agreed, those terms will generally apply to that transaction.

5. CANCELLATION BY BUYER

A Buyer may request cancellation before fulfilment where cancellation is permitted for the relevant transaction.

The applicable refund may depend on:

  1. whether the Seller has dispatched the item;
  2. whether the item has been customized;
  3. whether the transaction is non-refundable;
  4. whether the transaction has already been completed;
  5. the Seller’s disclosed cancellation terms;
  6. applicable law.

A cancellation request does not automatically guarantee a full refund.

6. CANCELLATION OF SALES ORDERS

For ordinary product sales, the cancellation rules displayed at checkout or in the applicable Seller terms will apply.

Where cancellation is permitted:

  1. the order may be cancelled;
  2. the applicable refund may be initiated;
  3. payment-provider processing time may apply.

Customized, made-to-order, personalized or specially procured products may be subject to different cancellation conditions.

7. RETURNS OF PURCHASED GOODS

Where a return is permitted, the Buyer may be required to:

  1. request a return within the stated period;
  2. preserve the item in reasonable condition;
  3. return accessories;
  4. provide photographs or other evidence where requested;
  5. use the specified return method;
  6. ensure appropriate packaging.

Returns may be refused or adjusted where permitted by law if the item has been:

  1. materially damaged;
  2. altered;
  3. misused;
  4. substantially used beyond reasonable inspection;
  5. missing components;
  6. returned in materially different condition.

Nothing in this section limits mandatory consumer rights.

8. NON-RETURNABLE OR SPECIAL PRODUCTS

Certain products may be designated as:

  1. non-returnable;
  2. final sale;
  3. customized;
  4. made-to-order;
  5. personalized;
  6. specially procured;
  7. perishable;
  8. limited edition;
  9. auction items;
  10. otherwise subject to special conditions.

Such restrictions must be disclosed where applicable and remain subject to mandatory law.

9. RENTAL CANCELLATIONS

Rental cancellations are governed by the rental terms displayed during booking and/or the applicable Rental Agreement.

Because rental assets may be reserved for specific production dates and may become unavailable to other Users, cancellation charges may apply.

The applicable cancellation amount may depend upon:

  1. how far in advance cancellation is made;
  2. rental duration;
  3. asset category;
  4. Vendor policy;
  5. whether the asset has already been prepared;
  6. whether delivery has been scheduled;
  7. whether the rental has commenced.

10. RECOMMENDED RENTAL CANCELLATION STRUCTURE

Unless a different Vendor-specific policy is clearly disclosed, the following framework may apply:

More than 7 days before rental commencement

A cancellation may qualify for a refund of the rental amount actually paid, less any expressly disclosed non-refundable fees or amounts already incurred.

3–7 days before rental commencement

A reasonable cancellation charge may apply, with the balance refunded where applicable.

Less than 72 hours before rental commencement

A higher cancellation charge may apply because the asset may have been reserved and unavailable to other customers.

After rental commencement

The rental amount may generally become non-refundable, except where applicable law or the transaction-specific terms provide otherwise.

Security Deposit

A Security Deposit is generally not a rental fee.

Subject to applicable deductions, it should be returned or released after completion of the rental and reasonable inspection.

11. RENTAL CANCELLATION BY VENDOR

If a Vendor cancels a confirmed rental without a legitimate reason, ShootingSet may, depending on circumstances:

  1. seek an alternative asset;
  2. offer a replacement;
  3. facilitate rescheduling;
  4. process an applicable refund;
  5. suspend the Vendor;
  6. record the Vendor’s cancellation history;
  7. take other contractual action.

ShootingSet does not guarantee that an equivalent replacement will always be available.

12. ASSET UNAVAILABLE OR DAMAGED BEFORE RENTAL

If a booked rental asset becomes unavailable because of:

  1. prior booking;
  2. double booking;
  3. damage;
  4. loss;
  5. mechanical failure;
  6. Vendor withdrawal;
  7. legal restriction;
  8. other Vendor-related circumstances;

ShootingSet may attempt to facilitate:

  1. an equivalent replacement;
  2. an alternative asset;
  3. rescheduling; or
  4. an applicable refund.

The available remedy may depend on the circumstances and the applicable transaction terms.

13. LATE RETURN IS NOT A CANCELLATION

Returning a rental asset late does not constitute cancellation.

Late return may result in:

  1. continued rental charges;
  2. reasonable late-return charges;
  3. loss-of-use charges where legally recoverable;
  4. recovery costs;
  5. transportation costs;
  6. damage charges;
  7. other amounts properly payable under the Rental Agreement.

The Master Terms & Conditions govern late-return and asset-recovery obligations.

14. RENTAL DAMAGE AND REFUNDS

Where a rented asset is returned damaged, ShootingSet or the Vendor may investigate the damage before releasing any refundable Security Deposit.

The investigation may consider:

  1. pre-rental condition;
  2. photographs;
  3. inspection reports;
  4. usage records;
  5. return condition;
  6. repair quotations;
  7. invoices;
  8. other relevant evidence.

A refundable amount may be held for a reasonable period where necessary to determine the amount properly payable.

15. LOCATION BOOKING CANCELLATION

Location bookings may be subject to special cancellation conditions because a location may be blocked exclusively for a production date.

Cancellation terms may depend upon:

  1. advance notice;
  2. booking duration;
  3. preparation costs;
  4. location owner policy;
  5. security deposit;
  6. permits;
  7. special production arrangements.

Users should carefully review the cancellation terms before confirming a location.

16. LOCATION OWNER CANCELLATION

If a Location Owner cancels after a confirmed booking, ShootingSet may attempt to:

  1. find an alternative location;
  2. facilitate rescheduling;
  3. process an applicable refund.

ShootingSet does not guarantee availability of a comparable replacement location.

17. SERVICE CANCELLATIONS

Service engagements may involve preparation, scheduling, personnel allocation or advance work.

Cancellation terms may therefore vary by Service Provider.

Examples include:

  1. production crew;
  2. photographers;
  3. technicians;
  4. designers;
  5. makeup artists;
  6. stunt professionals;
  7. equipment operators;
  8. transport services;
  9. production services;
  10. post-production services.

Users should review the specific service cancellation terms before confirming a booking.

18. SERVICES ALREADY COMMENCED

Where a service has already commenced, refunds may be limited according to:

  1. work already performed;
  2. deliverables completed;
  3. resources committed;
  4. third-party costs;
  5. cancellation terms;
  6. applicable law.

A User should not assume that cancellation after commencement creates a right to a full refund.

19. CUSTOM-MADE GOODS AND SERVICES

Custom orders may involve:

  1. special procurement;
  2. fabrication;
  3. tailoring;
  4. modification;
  5. personalization;
  6. advance labour;
  7. material purchase.

Such orders may be non-cancellable or subject to a cancellation charge after work has commenced, provided the terms were disclosed and are lawful.

20. AUCTION PURCHASES

Auction transactions are subject to the applicable ShootingSet Auction Terms & Conditions.

Unless expressly stated otherwise or required by law:

  1. winning bids may be binding;
  2. auction purchases may not be cancellable merely because the Buyer changes their mind;
  3. Buyer Premiums and applicable charges may remain payable;
  4. failure to complete payment may constitute bidder default.

21. AUCTION CANCELLATION BY SHOOTINGSET

ShootingSet may cancel or suspend an auction where reasonably necessary because of:

  1. suspected fraud;
  2. bid manipulation;
  3. ownership dispute;
  4. authenticity concerns;
  5. legal restriction;
  6. material Listing error;
  7. technical failure;
  8. unavailable lot;
  9. force majeure;
  10. government/court order.

Where an auction is cancelled before completion, applicable amounts paid may be refunded according to the circumstances and applicable law.

22. AUCTION WINNER DEFAULT

If a winning bidder fails to pay within the specified period, ShootingSet may:

  1. cancel the transaction;
  2. retain or apply any applicable deposit where lawfully permitted;
  3. recover properly payable charges;
  4. offer the lot to another bidder;
  5. re-auction the lot;
  6. suspend the bidder’s account.

23. DELIVERY CANCELLATIONS

A delivery-related cancellation may be subject to:

  1. logistics charges;
  2. attempted delivery charges;
  3. waiting charges;
  4. return-to-origin charges;
  5. restocking charges;
  6. Vendor cancellation terms.

Where an incorrect address or failed access causes additional costs, those costs may be payable by the User where disclosed or legally recoverable.

24. FAILED DELIVERY

A delivery may be considered unsuccessful where:

  1. the recipient is unavailable;
  2. the address is incorrect;
  3. access is denied;
  4. security restrictions prevent entry;
  5. the site is inaccessible;
  6. the User refuses delivery;
  7. required information is missing.

ShootingSet or its logistics partner may make reasonable attempts to contact the User.

Additional delivery or re-delivery charges may apply where disclosed.

25. USER-REQUESTED CHANGES

Changes to:

  1. rental dates;
  2. delivery dates;
  3. pickup dates;
  4. locations;
  5. quantities;
  6. specifications;
  7. services;

are subject to Vendor availability.

A change request may be treated as a cancellation and new booking where the original booking cannot be amended.

Additional charges may apply.

26. REFUNDS FOR PLATFORM OR VENDOR CANCELLATION

Where a confirmed transaction is cancelled by ShootingSet or a Vendor and the applicable terms provide a refund, ShootingSet may initiate the refund through the original payment method or another lawful method.

The amount may exclude charges that are properly non-refundable under the applicable terms.

27. REFUND PROCESSING

Approved refunds will generally be initiated through the original payment method where technically and operationally possible.

ShootingSet may use:

  1. Razorpay;
  2. PayPal;
  3. banking systems;
  4. other applicable payment providers.

Once a refund is initiated, the actual crediting time may depend on:

  1. payment provider;
  2. bank;
  3. card issuer;
  4. payment method;
  5. currency;
  6. international processing;
  7. weekends/holidays;
  8. compliance checks.

ShootingSet does not control the exact time taken by an external payment provider or bank to credit a refund.

28. PAYMENT PROVIDER FEES

Where a transaction is refunded, certain payment-processing or third-party charges may not be recoverable by ShootingSet.

Whether such charges are deducted from a refund depends on:

  1. applicable law;
  2. transaction terms;
  3. payment provider rules;
  4. Vendor terms.

Any non-refundable component should be disclosed before transaction completion where required.

29. PARTIAL REFUNDS

Where appropriate, a partial refund may be issued.

Examples include:

  1. partial cancellation;
  2. missing component;
  3. service partially completed;
  4. partial delivery failure;
  5. price adjustment;
  6. agreed settlement of a dispute;
  7. partial Vendor failure.

A partial refund does not necessarily imply that ShootingSet accepts liability.

30. REFUNDS FOR INCORRECT OR DEFECTIVE GOODS

Where an item is materially different from its Listing or is defective in a manner covered by applicable law or transaction terms, the Buyer should promptly notify ShootingSet and/or the Seller.

Evidence may be requested, including:

  1. photographs;
  2. videos;
  3. packaging images;
  4. delivery records;
  5. product details;
  6. correspondence.

The applicable remedy may include:

  1. replacement;
  2. repair;
  3. return;
  4. partial refund;
  5. full refund;
  6. other lawful remedy.

31. REFUNDS FOR RENTAL EQUIPMENT FAILURE

If rental equipment fails during a rental, the User should notify ShootingSet and the Vendor promptly.

Depending on:

  1. cause of failure;
  2. duration of interruption;
  3. Vendor obligations;
  4. whether the User contributed to the failure;
  5. replacement availability;
  6. applicable rental terms;

the remedy may include:

  1. replacement equipment;
  2. rescheduling;
  3. partial rental adjustment;
  4. refund of affected rental charges;
  5. other agreed remedy.

ShootingSet does not automatically guarantee compensation for production losses caused by equipment failure.

32. NO REFUND FOR USER-CAUSED FAILURE

A refund may be denied or reduced where the problem arose because of:

  1. misuse;
  2. unauthorized use;
  3. negligence;
  4. incorrect installation;
  5. failure to follow instructions;
  6. unauthorized modification;
  7. failure to obtain required permits;
  8. User-caused damage;
  9. inaccurate information supplied by the User.

This remains subject to applicable law.

33. SECURITY DEPOSIT REFUNDS

Security Deposits are handled separately from ordinary rental charges.

After the rental ends, the Vendor may inspect the asset.

Where no legitimate deduction applies, the deposit may be released according to the applicable payment and settlement process.

Where a deduction is proposed, the User may be provided with relevant information or evidence subject to applicable policy and law.

34. DISPUTED REFUNDS

If a refund is disputed, ShootingSet may investigate the matter.

The investigation may include:

  1. transaction records;
  2. Listing information;
  3. photographs;
  4. delivery records;
  5. payment records;
  6. messages;
  7. Vendor responses;
  8. inspection records;
  9. third-party information.

Users agree to reasonably cooperate.

35. CHARGEBACKS

Users should first contact ShootingSet regarding a transaction dispute where appropriate.

Fraudulent or abusive chargebacks are prohibited.

Where a chargeback is initiated, ShootingSet may provide transaction evidence to the relevant payment provider.

A chargeback may affect:

  1. account standing;
  2. Vendor settlement;
  3. future transaction eligibility.

Nothing prevents a User from exercising legitimate rights available under applicable payment or consumer law.

36. DUPLICATE OR ERRONEOUS PAYMENTS

If a User believes they have been charged twice or incorrectly, they should notify:

support@shootingset.com

ShootingSet may investigate using transaction records and the relevant payment provider.

Verified duplicate or erroneous payments may be refunded or adjusted as appropriate.

37. FAILED PAYMENTS

If payment fails:

  1. the order may not be confirmed;
  2. the booking may remain unconfirmed;
  3. an auction bid may not be completed;
  4. a reservation may expire;
  5. the Vendor may continue to offer the asset.

Users should not assume that an attempted payment constitutes a confirmed transaction.

38. CURRENCY CONVERSION

International transactions may involve currency conversion.

Exchange rates and conversion fees may be determined by:

  1. payment provider;
  2. bank;
  3. card issuer;
  4. PayPal;
  5. other financial institution.

ShootingSet does not guarantee a particular exchange rate unless expressly stated.

39. INTERNATIONAL REFUNDS

International refunds may take longer because of:

  1. payment networks;
  2. foreign exchange;
  3. banking systems;
  4. compliance checks;
  5. intermediary banks;
  6. international holidays.

The amount ultimately received may differ because of exchange-rate movements or bank/provider charges, subject to applicable law and transaction terms.

40. TAXES ON REFUNDS

Where a refund affects GST or other taxes, the tax component may be adjusted in accordance with applicable law and appropriate documentation.

Users and Vendors remain responsible for their respective tax obligations.

41. PLATFORM FEES

ShootingSet may charge a nominal platform fee or other disclosed service charge.

The treatment of a platform fee upon cancellation or refund will depend upon:

  1. when cancellation occurs;
  2. whether the service has been provided;
  3. whether the fee has been disclosed as non-refundable;
  4. applicable law;
  5. the transaction-specific terms.

ShootingSet will not represent a fee as non-refundable where applicable law requires otherwise.

42. VENDOR-SPECIFIC CANCELLATION TERMS

Vendors may establish reasonable cancellation terms for their own Listings.

Such terms should be:

  1. clearly disclosed;
  2. available before transaction confirmation;
  3. consistent with applicable law;
  4. applied consistently.

ShootingSet may require Vendors to modify terms that are misleading, unlawful or inconsistent with Platform requirements.

43. VENDOR RESPONSIBILITY FOR REFUNDS

Where the Vendor is responsible for a refund, the Vendor remains responsible for the underlying commercial obligation.

ShootingSet may facilitate the refund through available payment systems.

Where permitted by applicable arrangements, ShootingSet may adjust Vendor settlements to satisfy valid refunds.

44. SHOOTINGSET’S OWN SERVICES

Where ShootingSet itself directly supplies a product or service rather than merely facilitating a third-party transaction, the applicable ShootingSet-specific refund terms will apply.

The transaction page should identify where ShootingSet is the direct supplier.

45. NO AUTOMATIC REFUND FOR CHANGE OF MIND

Unless required by applicable law or expressly offered for the transaction, a change of mind does not automatically create a right to a refund.

This is particularly relevant to:

  1. auction purchases;
  2. completed services;
  3. custom products;
  4. used production assets;
  5. completed rentals;
  6. specially reserved locations.

46. FORCE MAJEURE

A transaction may be affected by:

  1. natural disasters;
  2. severe weather;
  3. fire;
  4. flood;
  5. epidemic/pandemic;
  6. war;
  7. civil unrest;
  8. government restrictions;
  9. strikes;
  10. transport disruption;
  11. major technical outages;
  12. other events beyond reasonable control.

Where a transaction cannot reasonably proceed because of such circumstances, ShootingSet may facilitate:

  1. rescheduling;
  2. cancellation;
  3. credit;
  4. refund;

depending on the circumstances, Vendor terms, payment status and applicable law.

47. PRODUCTION DELAYS

ShootingSet does not guarantee compensation merely because a cancellation, delivery delay, Vendor issue or equipment problem causes:

  1. shooting delays;
  2. crew waiting;
  3. actor overages;
  4. location extensions;
  5. rescheduling;
  6. additional production costs;
  7. reshoots.

Any recovery must arise from an applicable contract, law or agreed settlement.

48. NO GUARANTEE OF REPLACEMENT

Where a transaction fails, ShootingSet may attempt to locate an alternative Vendor, asset, service or location.

ShootingSet does not guarantee that an equivalent replacement will be available.

49. PROMOTIONAL OFFERS

Special promotions may contain separate cancellation and refund conditions.

Where promotional terms conflict with this Policy, the specific promotional terms may apply to the extent legally permitted.

50. GIFT, CREDIT OR VOUCHER REFUNDS

Where ShootingSet offers a credit, voucher or other non-cash remedy, the applicable terms will be disclosed before acceptance.

A User will not be forced to accept a non-cash remedy where applicable law requires a monetary refund.

51. REFUND TO ORIGINAL PAYMENT METHOD

Where practicable, refunds will generally be made to the original payment method used for the transaction.

Alternative refund methods may be used where:

  1. the original method is unavailable;
  2. the payment provider requires another method;
  3. the User agrees;
  4. applicable law permits.

52. REFUND FRAUD

Users must not:

  1. falsely claim non-delivery;
  2. falsely claim defects;
  3. manipulate evidence;
  4. abuse refund systems;
  5. obtain duplicate refunds;
  6. submit fraudulent chargebacks;
  7. return different or substituted goods.

ShootingSet may suspend accounts and pursue lawful recovery where refund fraud is suspected.

53. EVIDENCE AND INSPECTION

For disputes involving physical assets, ShootingSet may request:

  1. photographs;
  2. videos;
  3. delivery records;
  4. condition reports;
  5. invoices;
  6. repair quotations;
  7. inspection reports;
  8. serial numbers;
  9. communication records.

Users should preserve relevant evidence until the matter is resolved.

54. REFUND DECISION DOES NOT DETERMINE LEGAL LIABILITY

A refund, partial refund, credit or other customer-service resolution does not necessarily constitute an admission of legal liability by ShootingSet or a Vendor.

55. CONSUMER RIGHTS

Nothing in this Policy is intended to exclude, restrict or waive any mandatory rights or remedies available to consumers under applicable law.

Where a mandatory legal right applies, that right shall prevail over an inconsistent provision of this Policy.

56. DISPUTES

Refund disputes should first be raised with:

support@shootingset.com

Where unresolved, the User may use the grievance mechanism:

ask@shootingset.com

Formal legal notices may be sent to:

legal@shootingset.com

The dispute-resolution provisions of the ShootingSet Master Terms & Conditions shall apply, subject to mandatory statutory rights.

57. FRAUD, ABUSE AND ACCOUNT RESTRICTIONS

ShootingSet may suspend or restrict an account where there is credible evidence of:

  1. refund abuse;
  2. payment fraud;
  3. chargeback abuse;
  4. false claims;
  5. identity fraud;
  6. auction manipulation;
  7. repeated cancellation abuse;
  8. misuse of the Platform.

Any action shall be subject to applicable law.

58. CHANGES TO THIS POLICY

ShootingSet may update this Refund & Cancellation Policy to reflect:

  1. changes in law;
  2. changes in payment providers;
  3. new Platform services;
  4. new transaction categories;
  5. operational changes;
  6. Vendor requirements.

The latest version will be published on the Platform.
